Privacy Policy

This policy explains what personal information NihongoNana (“we”, “us”) collects on nihongonana.com and when you book or take lessons with us, why we use it, who receives it, and the choices you have. NihongoNana is an online Japanese school based in Tokyo, Japan. For any privacy question or request, email support@nihongonana.com.

1. Information we collect

When you book a lesson

Our booking form collects:

  • your name and email address;
  • your country and your Japanese level;
  • an optional note to your teacher;
  • your time zone, so lesson times are shown correctly;
  • the page you booked from and any tags in the link that brought you there, such as UTM campaign tags and ad click IDs from Google or Meta ads.

For paid lessons, you pay through Stripe. Your card details go only to Stripe; we never see or store them.

When you join our newsletter or a waiting list

Your email address, and your name if the form asks for it.

When you contact us or comment on a blog post

The details you send us, such as your name, email address and message.

When you browse our website

Like most websites, we and our analytics and advertising tools receive technical information such as your browser and device type, your approximate location from your IP address, the pages you visit and how you found us. This uses cookies and similar technologies (see section 5).

2. How we use it

  • to book, run, move or cancel your lessons, and to send confirmations, reminders and lesson links;
  • to take payment for paid lessons;
  • to tell your teacher about your level and goals so they can prepare;
  • to protect the booking form from spam and bots;
  • to understand which pages and adverts bring people to our lessons, and to improve our website and lessons;
  • to send our newsletter, only if you joined it (you can unsubscribe at any time);
  • to answer your questions and to keep the records we need for accounting and legal reasons.

3. Who receives your information

We do not sell your personal information. We share it only with the people and services we need to run our lessons and website:

  • Dozo (nihongodozo.com), our Japanese learning app, which runs the booking calendar, stores your booking and sends booking emails through Amazon SES;
  • your teacher, who receives your booking details;
  • Stripe, which processes payments for paid lessons;
  • Zoom, where online lessons take place;
  • Google Calendar, where your teacher’s calendar holds the lesson;
  • Cloudflare, which runs the Turnstile bot check on the booking form and delivers our website;
  • Google Analytics and the Meta Pixel, which measure visits and bookings and the adverts that brought them;
  • Brevo or Mailchimp, only if you join our newsletter or a waiting list;
  • WonderPush, only if you allow notifications from our website;
  • Trafft, our previous booking system, for bookings made there until we finish moving to Dozo;
  • our website host, which stores the website and its data.

We may also disclose information when the law requires it. Some of these services are based outside Japan, for example in the United States, so your information may be processed there.

4. How long we keep it

We keep booking and lesson records while you take lessons with us and for as long as we need them for accounting and legal reasons. We keep newsletter details until you unsubscribe. You can ask us to delete your information sooner (see section 6).

5. Cookies and similar technologies

We use cookies and similar technologies to keep the website working, to measure visits with Google Analytics, and to measure and improve our adverts with the Meta Pixel. The booking calendar uses Cloudflare Turnstile to check for bots. Reading choices on our blog, such as turning furigana on or off, are saved only in your own browser.

You can block or delete cookies in your browser settings; the website still works, although some features may not. You can also use Google’s Analytics opt-out add-on and change your ad settings in your Google and Meta accounts.

6. Your choices and rights

You can ask us for a copy of the personal information we hold about you, ask us to correct or delete it, or ask us to stop using it for a purpose such as our newsletter. Email support@nihongonana.com and we will reply as soon as we can. You can also unsubscribe from our newsletter with the link in any of its emails.

7. Security

We use reputable service providers and take reasonable measures to protect your information, but no way of sending or storing information over the internet is completely secure.

8. Changes to this policy

We may update this policy, for example when we start using a new service. We will post the new version on this page with its date.
